The IEEE International Conference on Advanced Computing 2025 (ICAC-2025) is the 12th edition of the flagship conference series organised by IEEE Delhi Section in technical sponsorship with IIT Delhi. IEEE ICAC-2025: Paper Acceptance Notifications Released — 28% Acceptance Rate

ICAC-2025 paper acceptance decisions released on EasyChair. 284 papers accepted out of 1014 submissions (28% acceptance rate).

The IEEE ICAC-2025 Programme Committee has released the paper acceptance notifications. Out of 1,014 submissions, 284 papers have been accepted — an overall acceptance rate of 28%.

  • Accepted (Regular Paper): 215 papers
  • Accepted (Short Paper): 48 papers
  • Accepted (Poster): 21 papers
  • Major Revision (resubmit by 7 Nov): 18 papers

For Accepted Authors

  1. Check decision + reviews on EasyChair.
  2. Address reviewer comments and prepare camera-ready version by 15 November 2025.
  3. Complete IEEE Copyright Form via the IEEE eCF system.
  4. Register for the conference by 25 November 2025 — at least one author per paper must register for the paper to appear in proceedings.

For Major Revision Authors

Submitting a paper to IEEE ICAC-2025 requires careful preparation — IEEE format compliance, double-blind anonymisation, EasyChair submission, and post-acceptance camera-ready. This guide walks through each step.

📋 Step 1 — Prepare Your Paper in IEEE Format

Templates

  • MS Word template: Download from IEEE Template Selector
  • LaTeX template: IEEEtran.cls (latest version)
  • Overleaf: Use the official IEEE template project

Format Requirements

  • Page layout: US Letter (8.5 x 11 inches)
  • Two-column format
  • Font: Times Roman, 10 pt body
  • Pages: 6-8 pages for regular paper (6 pages free, 7-8 with extra page fee of $100/page)
  • 4 pages max for short paper

Paper Structure (Recommended)

  1. Title — concise, descriptive (max 20 words)
  2. Abstract — 150-250 words
  3. Keywords — 5-7 keywords
  4. Introduction — problem motivation, contributions
  5. Related Work — must cite relevant recent papers (last 3 years)
  6. Methodology / Approach — technical core
  7. Experimental Setup — datasets, hardware, baselines
  8. Results & Discussion — quantitative + qualitative
  9. Conclusion & Future Work
  10. References — IEEE format, 20-40 references

🔒 Step 2 — Anonymise for Double-Blind Review

ICAC-2025 uses double-blind review — both authors and reviewers are anonymous.

What to Anonymise

  • Author names and affiliations — replace with 'Anonymous Authors'
  • Acknowledgements — remove or anonymise
  • Self-citations in third person — 'Smith et al. [12]' → 'Smith et al. [12]' (third-person self-cite is OK)
  • GitHub/publication links revealing identity — remove
  • Funding source that reveals identity — generic 'funded by a research grant'
  • PDF metadata (File → Properties → Author field) — must be 'Anonymous'

What to KEEP

  • Methods, results, technical details
  • Dataset names (public datasets)
  • Code frameworks (PyTorch, TensorFlow, etc.)

Common mistake: Anonymising dataset name when it's a public benchmark — reviewers need this for reproducibility.

📝 Step 3 — EasyChair Submission

Process

  1. Create an EasyChair account (free) at easychair.org if you don't have one.
  2. Go to ICAC-2025 submission page: easychair.org/conferences/?conf=icac2025.
  3. Click 'Make a new submission'.
  4. Fill in: Paper title, abstract, keywords, subject areas (track selection).
  5. Add all co-authors (name, email, affiliation) — even though paper PDF is anonymised, EasyChair knows who submitted.
  6. Upload PDF (max 10 MB, must be in IEEE format).
  7. Confirm submission. You'll get a submission ID.

Important Notes

  • One author can be corresponding author on multiple submissions.
  • Track choice matters — paper goes to that track's review committee. Wrong track = desk rejection.
  • Conflict of interest declaration — list all reviewers with whom you have COI (collaborators, ex-students, current colleagues).
  • Supplementary material — code/artefacts can be uploaded as ZIP (max 50 MB).

🔬 Step 4 — Review Process (What Happens)

Timeline

  • Submission deadline: 30 September 2025
  • Initial assignment to reviewers: 1-3 October 2025
  • Reviews submitted by: 10 October 2025 (3 reviewers per paper)
  • Author rebuttal window: 11-17 October 2025 (1 week)
  • Reviewer discussion + final decision: 18-29 October 2025
  • Notification: 30 October 2025

How to Read Reviews

  • Each reviewer gives: Confidence score (1-5), Overall score (1-5), Detailed comments, Questions for authors.
  • Meta-reviewer (track chair) synthesises reviews + rebuttal → final decision.

Author Rebuttal Tips

  1. Address EVERY reviewer question, even minor ones.
  2. Be polite — defensive responses hurt your case.
  3. For factual corrections, cite sources.
  4. For 'additional experiment' requests, run them if possible (rebuttal period is 1 week).
  5. If you can't run an experiment, explain why and promise to add in camera-ready.

✅ Step 5 — Camera-Ready Preparation (If Accepted)

Tasks

  1. Address reviewer comments (mandatory — reviewers will check).
  2. Add author names + affiliations back to paper.
  3. Add acknowledgements (funding, etc.).
  4. Update PDF metadata (author = your name).
  5. Stay within page limit (6 free + 2 paid).
  6. Run IEEE PDF eXpress check (mandatory for IEEE Xplore publication).

IEEE PDF eXpress

  1. Go to ieee-pdf-express.org.
  2. Use Conference ID: ICAC25X.
  3. Upload your camera-ready PDF.
  4. Get back a PDF eXpress-validated PDF.
  5. Upload this validated PDF to EasyChair as your final camera-ready.

IEEE Copyright Form

Every accepted paper MUST have a signed IEEE Copyright Form:

  1. You'll receive an email from IEEE eCF system after camera-ready upload.
  2. Click the link, fill in details (title, authors).
  3. Sign electronically.
  4. Copyright form gets auto-attached to your paper in IEEE Xplore.

📅 Step 6 — Register for Conference

For your paper to appear in IEEE Xplore proceedings, at least one author must register by 25 November 2025.

  • Student IEEE member: Rs. 7,500
  • Faculty IEEE member: Rs. 10,000
  • Non-IEEE: Rs. 12,000
  • International: $350-500 USD

If multiple papers, need 1 registration per paper (no shared registrations).

🎤 Step 7 — Prepare Presentation

  • Time slot: 20 minutes (15 min presentation + 5 min Q&A)
  • Slides: 16:9 widescreen, 15-20 slides max
  • Practice: Time yourself — moderators are strict on time
  • Backup: Carry PDF on USB + cloud (Google Drive)

⚠️ Common Mistakes That Lead to Rejection

  • Not anonymising properly — name in PDF metadata, GitHub link, etc.
  • Skipping Related Work or citing only old papers
  • Methodology unclear — reviewers can't understand your approach
  • No comparison with baselines — reviewers expect benchmark comparison
  • Overclaiming results — 'state-of-the-art' without statistical significance
  • Grammatical errors — use Grammarly or proofreader
  • Plagiarism — EasyChair runs Turnitin; > 25% similarity → desk rejection
  • Wrong track — submit ML paper to Security track → desk rejection
  • Page limit exceeded — 9-page regular paper → desk rejection
